Part-Time Administration Assistant
Role Overview
The Part-Time Administrative Assistant will provide critical support to BCLF’s leadership team, ensuring smooth operations as we scale our impact. This role is ideal for a detail-oriented multitasker passionate about Caribbean arts and nonprofit administration.
Full Job Description (10 hours per week)
Report to the administrative lead or director for twice-weekly updates, accomplishments and any issues requiring attention
Provide support to the team, including scheduling meetings, phone calls, travel arrangements, and event coordination
Provide support to the board of directors, including meeting scheduling and distribution of board materials
Bring ideas from events, meetings, etc. back to the organization to contribute to our on-going efforts to understand and support Caribbean writers in NY and the US
Manage daily administrative tasks including scheduling and organizing documents
General administrative duties including drafting communications and following up on emails
Assist in project management by tracking deadlines and facilitating communication
Maintain calendar and appointments for members
Support existing projects
Maintain organized digital files (Google Drive, Airtable) for grants, contracts, and vendor records.
Collate and maintain contact lists
Handle expense reporting, invoicing, and basic accounting tasks.
Assist social media intern with content scheduling
Qualifications
Required
2+ years in administrative roles (nonprofit experience a plus).
Exceptional organizational skills and comfort with digital tools (Google Workspace, Airtable, Canva).
Strong written communication for donor/partner correspondence.
Self-motivated with ability to meet deadlines in a remote setting.
Preferred
Familiarity with Caribbean literary/arts communities.
Basic graphic design or social media skills.
Experience with grant databases (e.g., Foundation Directory).
